Oahu Living Property Management (OLPM) is operated by Collective Hawaii Real Estate LLC, a Hawaiʻi real estate brokerage providing residential property-management services. This policy explains how we collect, use and disclose personal information in connection with our website, inquiries, rental applications, property-management services and business operations.
It applies to information about property owners, residents, rental applicants, prospective clients, vendors and website visitors. Third-party application services, portals and other providers may also have their own privacy policies.
1. Information we collect
The information involved depends on your relationship with us and the services you use. It may include:
- Contact information: names, mailing addresses, email addresses and telephone numbers.
- Property and ownership information: property addresses, ownership and management records, association information and service needs.
- Application and leasing information: identification, employment and income information, rental history, references, supporting documents and results of authorized screening.
- Tenancy and account information: lease records, payment history, account balances, maintenance requests and related communications.
- Financial and accounting information: information needed to process rent, property expenses, owner distributions and other authorized transactions through the applicable service providers.
- Communications: information you provide through forms, email, telephone calls, text messages and other communications with our team.
- Website information: technical and usage information, such as IP address, browser and device information, pages visited and cookie-related information, as described below.
Information may come directly from you, from property owners, from service providers or from other lawful sources relevant to the services we provide. We do not collect every category from every person. Choosing not to provide information needed for a particular service may limit our ability to provide that service.
2. How we use information
We use information as relevant to:
- Respond to inquiries and provide property-management services.
- Process rental applications and coordinate screening, leasing, move-in and move-out activities.
- Administer leases and management agreements, process transactions, maintain accounting records and prepare reports and owner distributions.
- Communicate with owners, residents, applicants, vendors and other parties involved in a property.
- Coordinate maintenance, repairs, inspections, access arrangements and other property-related services.
- Manage renewals, notices, account issues, disputes and legal or contractual obligations.
- Maintain business records, protect our systems and improve our website and services.
3. Email, telephone and text communications
We communicate about inquiries, applications, leases, accounts, maintenance and other property-management matters by email, telephone, text message and other appropriate channels. Operational messages may include building notices, weather-related information or service interruptions. We do not currently use text messaging for promotional or marketing campaigns.
Messages may come from individual team members or a service platform. Message frequency varies. Message and data rates may apply. Reply STOP to opt out of text messages at any time. Reply HELP for assistance. Necessary service communications and legally required notices may be provided through other appropriate channels.
Some communications are necessary to administer an agreement or meet a legal obligation. Ordinary email or text communications do not replace any formal notice method required by law or by your agreement.
4. AI-assisted tools
We use AI-assisted tools to help with administrative work and preparing communications. Depending on the task, information supplied to those tools may be processed by their technology providers. This does not mean that every customer record is provided to an AI tool. You may contact us with questions about how information is handled in connection with a particular service.
If an AI-assisted website chat feature is made available, information you choose to submit may be processed by the technology provider supporting that feature. Any additional privacy information specific to the feature will be provided with it.
5. When information is shared
SMS opt-in data and consent are not shared with third parties or affiliates.
We do not sell, trade or rent personal information to others. We may disclose information as needed for the services and purposes described in this policy, including to:
- Property owners and authorized representatives involved in managing a property.
- Providers of property-management, accounting, application, screening, payment, communication and document services.
- Maintenance contractors and other vendors involved in a requested or authorized property service.
- Associations, utilities and other parties involved in property operations.
- Attorneys, accountants, insurers and other professional advisers.
- Government agencies or other parties when required by law or reasonably necessary to address legal matters or protect rights.
Relevant records may also be transferred in an authorized change of property management, subject to applicable law and contractual obligations. This is distinct from selling or renting customer information.
Third-party providers may process information under their own terms and privacy policies. Review the applicable provider’s policy when using its services.
6. Applications, portals and payment services
Our website links to third-party services for functions such as rental applications and account access. We do not process payments directly on this website. When you use a linked service, the provider may collect information directly and provide us with information relevant to your application, account or property-management service.
Rental screening may involve separate disclosures and authorizations. This policy does not replace those documents or any rights or requirements under applicable law. Our policy does not govern independently operated third-party websites.
7. Cookies and website analytics
Our website may use cookies and similar technologies for website functionality, security and understanding how visitors use the site.
The website includes Google Analytics to help measure website use. Google Analytics can use cookies and collect information about visits and interactions, such as pages viewed and browser or device information. Your browser may also transmit your IP address to Google. Learn more about how Google uses information from sites that use its services.
You can manage cookies through your browser settings, although some website features may be affected. Google also provides a Google Analytics opt-out browser add-on for supported browsers. These controls do not necessarily stop all website or third-party data collection.
8. Security and retention
No website, electronic transmission or storage system can be guaranteed completely secure. Please do not submit Social Security numbers, financial credentials, identification documents or other sensitive records through a general website contact form or ordinary text message. Contact our team for instructions about the appropriate submission process.
Records may need to be retained after a tenancy or management relationship ends for accounting, legal, contractual, dispute-resolution and other legitimate business purposes. Retention needs vary by record type and circumstances. Contact us with questions about a particular record or request.
9. Questions, corrections and requests
You may contact us to ask about this policy, request correction of inaccurate contact or account information, express a communication preference or make a privacy-related request. We will consider requests in accordance with applicable law, our contractual obligations and recordkeeping requirements. We may need to verify your identity or authority before discussing or changing personal information.
Some records must be retained even when a relationship ends. Requests involving information controlled by a third-party provider may also need to follow that provider’s procedures. Contact info@oahulivingpm.com for assistance.
10. Policy updates
We may update this policy to reflect changes in our services, practices or applicable requirements. The revised policy will be posted here with an updated date. Where additional notice or consent is required by law, we will follow those requirements.
